1. Cancellation Policy Overview
- This Cancellation Policy outlines the terms and conditions for cancelling registrations, memberships, and transactions on the All Kerala Esports Federation (AKEF) platform. Please read this policy carefully before completing your registration and payment.
2. Cancellation Before Approval
- 2.1You may request cancellation of your registration before it is approved by AKEF officials.
- 2.2To cancel, send an email to mail@akef.in with your Registration ID and reason for cancellation.
- 2.3If payment has been completed, a refund will be processed as per our Refund Policy.
- 2.4Cancellation requests must be made within 48 hours of payment for eligible refunds.
- 2.5Once approved, cancellations with refunds are not permitted.
3. Cancellation After Approval
- 3.1Once your membership is approved and activated, cancellations are not eligible for refunds.
- 3.2You may request account deactivation or deletion by contacting us at mail@akef.in.
- 3.3Deactivated accounts will lose access to all member benefits, tournaments, and services.
- 3.4Membership fees paid for activated memberships are non-refundable.
- 3.5Membership validity will not be extended due to account deactivation.
4. Event or Tournament Cancellation by AKEF
- 4.1AKEF reserves the right to cancel or postpone tournaments and events due to unforeseen circumstances.
- 4.2In case of event cancellation, registered participants will be notified via email and platform notifications.
- 4.3If event-specific fees were charged, refunds or credits may be issued at AKEF's discretion.
- 4.4General membership fees are separate from event fees and remain non-refundable.
- 4.5AKEF is not liable for any travel, accommodation, or related expenses incurred by participants.
5. Membership Cancellation by AKEF
- 5.1AKEF reserves the right to cancel or suspend memberships for violations of Terms and Conditions.
- 5.2Members engaging in misconduct, cheating, or unethical behavior may face membership cancellation.
- 5.3No refunds will be issued for memberships cancelled due to policy violations.
- 5.4AKEF will provide written notice of cancellation with reasons (if applicable).
- 5.5You may appeal the decision by contacting us within 14 days of the cancellation notice.
6. Payment Transaction Cancellation
- 6.1If a payment transaction is in progress and you wish to cancel, contact your bank or payment provider immediately.
- 6.2AKEF cannot cancel transactions once processed through Razorpay payment gateway.
- 6.3For failed or incomplete transactions, amounts will be automatically reversed to your account within 5-7 business days.
- 6.4If funds are deducted but registration is not created, contact us at mail@akef.in with transaction proof for investigation.
7. How to Request Cancellation
- To request cancellation:
- 7.1Send an email to mail@akef.in with the subject line "Cancellation Request".
- 7.2Include: Full Name, Registration ID, Email Address, Phone Number, Reason for cancellation, Transaction ID (if payment was made).
- 7.3Our team will review your request and respond within 7-10 business days.
- 7.4Approved cancellations will be processed as per our Refund Policy (if applicable).
8. No-Show Policy
- 8.1Failure to participate in registered tournaments or events without prior notice is considered a "no-show".
- 8.2No-shows are not eligible for refunds of membership or event fees.
- 8.3Repeated no-shows may result in membership suspension or termination.
- 8.4If you cannot attend an event, notify us at least 48 hours in advance.
